Cancellations and Refund Policy

Please contact the Fundraising Team (028 9023 2882 or fundraising@simoncommunity.org) if you wish to cancel a registration fee or donation. On some occasions we may be unable to cancel payments (or refund money) connected to event registration but we will endeavour to process your request where possible.

Privacy Statement

At Simon Community NI we are committed to protecting your personal information and being transparent with how we both use and store it.

Simon Community NI is required at all times to comply with the General Data Protection Regulation (GDPR) to ensure all data and information we hold is protected. All methods and mechanisms Simon Community NI used to store, retrieve and/or disseminate data must also satisfy the requirements of the GDPR and all processes and procedures will be carried out in line with professional best practice. We will not to do anything with your information you wouldn’t reasonably expect.

Data Protection Principles

Simon Community NI is committed to upholding rules and regulations of GDPR. GDPR is based on the following principles:

All personal data must be:

  1. Processed fairly, lawfully and in a transparent manner in relation to the data subject
  2. Collected for specified, explicit and legitimate purposes and not further processed for other purposes incompatible with these purposes
  3. Adequate, relevant and limited to what is necessary in relation to purposes for which they are processed
  4. Accurate and where necessary kept up to date
  5. Kept in a form that permits identification of data subjects for no longer than is necessary for the purposes for which the personal data are processed
  6. Processed in a way that ensures appropriate security of the personal data including protection against unauthorised or unlawful processing and against accidental loss, destruction or damage, using appropriate technical or organisational measures.

Information Asset Register

An Information Asset Register is held centrally and maintained by the Data Protection Officer (DPO). The Information Asset Register identifies all personal data held by Simon Community NI departments and details where information is held, how it is processed, who has access to it and who is the Information Asset owner. Retention & Destruction periods are also attached to each information asset. It is the responsibility of the Data Protection Officer to ensure the Information Asset Register is updated as and when additions or deletions of information assets are made. The Information Assets Register should also be reviewed annually.

Security 

Appropriate technical, organisational and administrative security measures to safeguard personal data are in place.

Our Data Protection Officer has specific responsibility for data protection, covering all aspects within the scope of the Data Protection and Confidentiality policy.

Disposal of records is conducted in a secure and recognised manner approved by Simon Community NI and in line with Data Protection and Confidentiality Procedures.

Your Personal Data

When we may Collect Your Data

We only collect personal details through our website if you chose to donate, register for an event, create a fundraising page or if you sign up to our mailing list.

Depending on where you enter your personal details on our website the information required may include contact information i.e. first and last name, residential address and phone number.

When signing up for certain events e.g. runs or ziplines you may also be asked to provide your t-shirt size and supply a medical form.

If you are under 16 you will need to seek your parent’s permission before entering your data through the Simon Community NI website.

At different points through the Simon community NI website we link to 3rd party websites/platforms.

  • When donating to one of our appeals and via our main donation form your details will be processed via the Blackbaud Merchant Service.
  • For social media sharing we currently use Facebook, Twitter and YouTube.

While we only associate ourselves with reputable 3rd party sites, each of the sites mentioned above work independently of Simon Community NI and we have no direct say on how they manage your data. For more information on each company’s T&C’s, please click on the links included above.

Calls to our Helpline

Calls to our emergency helpline are not recorded. However, if necessary the member of staff you speak to may capture some of your personal information in order to provide you with the correct assistance.

Fundraising, Campaigns & Direct Marketing

We would love to keep you up to date with news on our fundraising, latest news, appeals and more. Through our website we may obtain your consent to contact you by email, phone or direct mail to send you information and fundraising appeals we believe may be of interest to you.

If you would like to change your consent, update your details or unsubscribe at any point, you can do this by contacting us via one of the following methods;

If you unsubscribe from our communications list you will still receive transactional emails confirming donations.

Storage of Your Personal Data and Use of data processors

We use a customer relationship management system (CRM) to support our fundraising. This means that we, keep the information you provide to us, and are able to see the relevant details of your history as a Simon Community NI donor.

We use MailChimp as an email marketing tool. If you sign up to our newsletter or if you agree to be contacted via email your information i.e. email address, first and last name will also be stored here. You can unsubscribe from our email list at any time by clicking the unsubscribe link that appears in all of our marketing or newsletter emails.

We also use a third-party company to facilitate mailings for fundraising appeals and general communications. The information provided to this third-party company is transferred securely and held in strict confidence.

Disclosure of Your Personal Data

We take the storage of your personal data very seriously and will not share this information with third-party organisations or companies - except where:

  • The transfer is to a secure data processor, which carries out data processing operations on our behalf.
  • We are required to do so by law enforcement or regulatory bodies where this is required or allowed under the relevant legislation.
  • We will never sell your personal data to a third-party organisation.

Retention and Disposal of Personal Information

One of the Data Protection Principles requires that personal data records are not kept longer than is necessary. Simon Community NI is also required to retain certain records for operational and administrative purposes and to demonstrate compliance with statutory or regulatory requirements.
